Terms and Conditions/ Booking Conditions
Please read these booking conditions carefully as they incorporate the basis upon which bookings are accepted by Great Destinations Travel/ Fiji Vacations. We do not require a physical signature on file but expect that the client has read these in full and agrees to them in their entirety by making the booking with deposit to our company. These terms and conditions are in addition to individual resorts, carriers terms and conditions and the more strict terms and conditions will take effect.
PRICE VALIDITY: JANUARY 01, 2022 – MARCH 31, 2024
RESERVATION, PAYMENT POLICIES, AND INFORMATION
Reservations for airfare are held on a courtesy basis for 72 hours. If the client does not pay in full for their ticket within 72 hours the reservation may be auto canceled by the airline. If your reservation is not ticketed and paid in full before the 72 hours the price is not guaranteed and is subject to availability and re-pricing. If for any reason your deposit or balance payment is not received by Fiji Vacations, Great Destinations on or before the due date, we reserve the right to cancel the booking and to access the appropriate cancellation charges. Bookings/ Reservations and price quotes are ONLY guaranteed after a Payment has been received by Fiji Vacations/ Great Destinations. Payments may be made by check or credit card.
AIRFARE ONLY RESERVATIONS (Fiji Airways): A mandatory non refundable payment is due within 72 hours of reserving airfare. Any change to a reserved flight is subject to a change fee imposed by Great Destinations/ Fiji Vacations/Fiji Travel in the amount of $50 per change per person. If the reservation has been ticketed the change is subject to Fiji Airways change fee and any difference in fare. The carrier’s changes fees are currently $150 USD for any change and $250 if the change is not re-booked within 72 hours of the canceled segment. As a service to our longtime and loyal VFR (visit friends and relatives) we offer a payment plan for booking airfare. This payment plan is only available on published fares with ticketing time limits of 30 days. The payment plan requires a non refundable deposit of $250 per person to be made to secure the reservations. Any and all payments are non refundable. The final payment is to be made within 30 days and if not paid then the reservations are cancelled and monies paid forfeited. Any changes to reservations on the payment plan are subject to $50 fee per change per person. Should you wish to cancel your reservations on the payment plan you will not receive a refund for any money paid. All changes and cancellations must be done in writing.
GROUP AIRFARE (Fiji Airways) : A mandatory non refundable $100 per person deposit is due within 14 days of a group contract being opened on your behalf. This deposit is required for groups of ten or more passengers in order to guarantee both the seats and the fare.
If the deposit is not received within 14 days, Fiji Vacations/ Fiji Airways Ltd. will cancel the group reservation, including cancellation of any confirmed seats or waitlisted seats in the itinerary. If the group falls below ten (10) passengers, the group block will be cancelled and the deposit will be forfeited. Individual reservations must be re booked directly through the system according to availability and subject to pricing changes. **Note**These changes in a group structure do not negate a signed package contract. Your package contract will be adjusted accordingly to the current lowest published airfare on Fiji Airways and FIT pricing for any resorts. DEVIATIONS: Passengers who deviate from the group block are subject to seat and fare availability and a $50 fee per person. TICKETING: All tickets will be issued 60 days prior to departure. TOUR CONDUCTOR POLICY: Fiji Airways Ltd. will provide one free economy class tour conductor ticket based on 20 paid adult passengers traveling outbound and return together on Fiji Airways and Fiji Link operated flights only on application basis. NAMES & NAME CHANGES: All names must be advised no later than 90 days prior to departure. All ticketed reservations must have the passenger’s full name as it appears on the passport, date of birth, gender, and Redress Number (if available) and be successfully transmitted to the Transportation Security Administration (TSA) as an SSR DOCS entry. DEPOSIT REFUNDS: The group desk agent will advise Fiji Airways Sales Office to process the refund after ticket numbers have been advised for the group block. Any seats that were not used on the group block will not be refunded back to the organizer. Fiji Airways Ltd. will process a refund check after the ticket numbers have been advised to the sales office. If Fiji Airways Ltd. is issuing the tickets, the group deposit less any cancelled seats may be used as partial payment. Fiji Airways Ltd reserves the right to cancel or modify the group reservation at any time prior to departure. In the event Fiji Airways cancels, reschedules, or delays the operation of any Fiji Airways flights, Fiji Airways shall have no liability other than to refund the deposit without penalty and without interest. Schedule changes, delays and cancellation of flights are governed by the applicable tariff of Air Pacific on file with the Department of Transportation in the USA and the National Transportation Agency of Canada which are herein incorporated by reference. If a refund is warranted, refunds are processed on the 15 th of the month following the cancellation and may take up to 6 weeks to reach you. CHILDREN/INFANT DISCOUNTS: Children (2-11) pay 75% of the adult published fare and infants under 2 years of age not occupying a seat pay 10% of the adult published fare.
MAKING YOUR BOOKING-Once you have decided to book particular arrangements, the Quote/ Proposed Itinerary must be completed and signed by the lead passenger (who must be over 21 years of age) on behalf of the whole party confirming your acceptance of these Booking Conditions. The lead passenger will be responsible for all payments. Fiji Vacations will confirm your arrangements as soon as we receive invoicing from suppliers, upon receipt of the signed Quote/ Proposed Itinerary and the appropriate deposit/full payment. The contract comes into effect when a Confirmation Invoice is issued by or on behalf of, ourselves or the relevant suppliers. Sometimes, we are unable to confirm certain arrangements immediately (eg: where accommodation is limited and only available on request, usually in peak seasons). In this case, a contract for the services concerned will only come into existence once we have specifically confirmed that those services you have requested have been booked. In this situation, only a contract for the services we can confirm will come into effect when we issue a Confirmation Invoice. We and the suppliers reserve the right to change the prices of unsold vacation/travel arrangements, at any time, before your booking has been confirmed. You will be given a current price at the time of booking. Prior to confirmation we and the service providers reserve the right to pass on in full at any time any increase on vacation/travel arrangements which may be introduced by travel suppliers. We and the suppliers also reserve the right to correct errors at any time before and after your booking is confirmed and prior to final payment being made. Please ensure you check all details of your TRAVEL DOCUMENTS (including e-tickets) carefully immediately on receipt and inform us straight away if anything appears to be incorrect as it may not be possible to make changes at a later stage. We regret we cannot accept any liability if we are not notified of any inaccuracies in any documentation within 24 hours of our offices emailing them out. GROUP Bookings adhere to the same Booking Requirements and Group Airfare requirements of deposit/final payment and change fees. **Note**These changes in a group structure do not negate a signed package contract. Your package contract will be adjusted accordingly to the current lowest published airfare on Fiji Airways and FIT pricing for any resorts.
DEPOSITS AND FINAL PAYMENTS- For custom air/land bookings
A minimum nonrefundable deposit of **$750.00 per person is required at the time of booking to hold your reservation. Some resorts require higher deposits and any deposit made is non refundable. Bookings/ Reservations can ONLY be guaranteed after a deposit is received. Final payment is to reach Great Destinations / Fiji Vacations no later than 90 days prior to departure. If for any reason your deposit or balance payment is not received by Great Destinations / Fiji Vacations on or before the due date, we reserve the right to cancel the booking and to assess the appropriate cancellation charges. In addition any late payment that is made for final payment will be subject to a $75 per person rush fee. All quotations and pricing is in USD.
EXCEPTIONS
Some exclusive resorts have different deposit and payment requirements. If that is the case for the hotel or resort being booked, you will be advised by Great Destinations / Fiji Vacations at the time of the booking. These requirements will be additional to those laid out herein. Most of our 5 star resorts and 4 star resorts have stricter policies please request these from us. The client can hold a travel credit for any involuntary cancelations by the carrier or hotel, no refunds.
RATES AND FARES
All pricing is based on USD and is converted from foreign currency if necessary. All fares and prices are based on current rates of currency exchange valid at the time of publication and are subject to change without notice. The operator reserves the right to increase the prices shown herein or to amend the listed holiday inclusions or itineraries prior to final payment being received by our office.
AMENDMENTS
For each voluntary change to a confirmed booking (for FIT and groups) such as changes to departure dates or return dates, destinations or hotels, you must advise us in writing and a charge of $50 will be applied for extra handling for each and every change per person to cover the administrative costs in addition to any charges levied by the principals. An amendment constitutes any change or request to change on an existing booking. If documents have been sent out, a charge of $75 will be applied to expedite processing and ensure prompt delivery of your new travel documents. The charges provided in this paragraph are in addition to the charges or penalties which may be assessed by the validating airline for reissue of tickets. For certain fares changes cannot be made after the reservations have been made/ ticketed due to the conditions set forth by the airlines. Should you wish to make changes to an unchangeable component of your package you will incur 100% cancellation charge and any new arrangements will be treated as a new booking. It is the clients responsibility to inquire about these charges. If the client wishes to postpone their vacation we reserve the right to asses the appropriate change fees to accommodate their request. If a vacation is postponed all monies paid to Fiji Vacations/Tahitian Vacations is non refundable and the credit will be pushed towards the new travel dates. New travel dates must be selected and travel completed within 12 months from intended date of travel. Extensions on credits are not allowed. Any credit must be used within 12 months or the client forgoes the credit. The new booking must be in good standing for the client to utilize the credit. If the client decides that their postponed dates do not work we will work to accommodate new dates (within time frame) but no refunds will be allowed.
CREDIT CARD CHARGES/ CHARGEBACK/DISPUTED CREDIT CARDS
Great Destinations/ Fiji Vacations takes the consumers protection and credit card fraud very seriously. We have each client sign and return a credit card authorization form prior to charging for their travel services. The credit card authorization form also requires that the consumer agree to the terms and conditions to do business with Fiji Vacations. Chargebacks are intended to protect consumers and are not intended to allow more time for clients to pay off credit cards. Chargeback fraud should be seen for what it is, theft and larceny and can be prosecuted as such. Chargebacks greatly affect our business and cash flow tying up funds for up to 30 days. If a client submits a chargeback against Fiji Vacations and does not immediately withdraw it causing Fiji Vacations to have to provide documentation to the credit card company proving the charge is valid we reserve the right to charge a service fee of 10% of the total amount of the charge back for administration fees. If a chargeback or credit card charge dispute is filed, Fiji Vacations reserves the right to immediately cancel the clients tickets and all services booked without refund or notice. Filing a chargeback before or after a trip is taken is treated the same way as a voluntary cancelation (penalties for cancelation by date of cancelation) and we reserve the right to involve collection agencies to collect money owed. If travel components are canceled the re-booking of services will be at the current fares/rates and may include change fees/ cancellation fees by resorts and carriers.
LATE BOOKINGS/ PAYMENTS
Bookings made within 90 days of departure will only be accepted if accompanied by full payment. A late booking fee of $75 per person will be applied for bookings where final payments are within the 90 days to cover additional handling and ensure speedy processing. If outstanding balances are not paid within 90 days prior to departure you will be subject to an additional fee $150 per person. Fiji Vacations and the hotel/supplier reserve the right to cancel your reservations without refund IF your final payments are not paid prior to 80 days before departure.
CANCELLATIONS
Great Destinations and Fiji Vacations only accept written cancellations by the lead traveler or party traveling. Any cancellation charges are calculated by the date WE receive the written cancellation from the lead traveler or party traveling. It is the clients’ responsibility to ensure we receive the written cancellation notice. For written cancellations received by Great Destinations Travel-Fiji Vacations prior to the travel date the following cancellation policy will apply in addition to any other fees charged by the relevant hotel, or other supplier:
Cancellation for any reason from the date deposit is made: $500.00 per person minimum.
90+ days prior to departure: $750.00 per person minimum.
90-81 days prior to departure: $25% of tour cost per person if greater than $750 p/p
80-71 days prior to departure: 50% of tour cost per person if greater than $750 p/p.
70-61 days prior to departure: 75% of tour cost per person if greater than $750 p/p.
60 – 0 days prior to departure or after the trip has begun: 100% of tour cost.
EXCEPTIONS
Some exclusive resorts may have more restrictive cancellation policies. You will be advised of these at time of booking by Great Destinations Travel-Fiji Vacations. Airline tickets are not refundable. Some resorts may have less stringent cancelling policies however by doing business with Great Destinations/Fiji Vacations/Tahitian Vacations you are agreeing to our terms and conditions. We highly recommend Travel Insurance by all parties.
REFUNDS
No refund will be given after the trip has started for any reason. Fiji Vacations cannot be responsible for the selection of a resort. Fiji Vacations provides information as depicted through the resort brochures and or web sites and personal experience. Refunds are a joint decision between the resort and the tour operator. If it is believed that a refund is appropriate under the provisions of these terms and conditions, the applicant must request the refund in writing and support the application with appropriate documents, within one month (30 days) of returning home. If it is deemed that the refund is appropriate then allow for six weeks to process.
TRAVEL INSURANCE
We strongly advise that you purchase a comprehensive travel insurance policy to cover all aspects of your holiday including the loss of deposit through cancellation, loss of baggage and personal items, personal injury and death, etc. It is the clients sole responsibility to purchase insurance. We are not insurance brokers so regrettably we cannot answer any questions about coverage. All coverage questions will need to be directed to the insurance companies. Great Destinations Travel-Fiji Vacations will quote insurance if you “accept” on the contracts but cannot assist you with the purchase of travel insurance. Listed below are a few companies that sell travel insurance. We do not recommend one company over another.

TRAVEL AGENTS
Great Destinations Travel-Fiji Vacations are wholesale tour operators and we are contracted by Travel Agents to book their clients travel due to our competitive rates, relationships and extensive knowledge of the destination. Commission is paid to the agents based on the land (accommodation) price pre tax only. All other components are non commissionable. If the agents clients interact directly with the Great Destinations/ Fiji Vacations then the agent is subject to a referral fee which may be less than the negotiated commission. We require a 1099 and a valid IATA from agents to accept bookings. Commission is paid out on the 15th of the month after clients return.
TOUR DOCUMENTS
Approximately 2 weeks prior to scheduled departure, Great Destinations Travel-Fiji Vacations will email out your travel documents provided full payment has been received.
IMMIGRATION AND HEALTH
U.S and Canadian citizens must have a valid passport, and it must be valid six (6) months after return to the United States. Citizens of countries other than the U.S. or Canada should consult with the Fijian Consulate to determine if visas are necessary. It is the responsibility of the passenger to obtain all necessary entry documentation required prior to departure. Failure to verify your entry status into the country may result in deportation back to the USA. To ensure that you have the proper documentation please contact the Fijian consulate at 1800-YEA-FIJI.
BAGGAGE
Passengers are advised to carry only one piece of baggage per person, as well as a carryon bag for the airline cabin. Some of the smaller resorts are accessible by seaplane or helicopter only, and may impose additional restrictions. Check with Great Destinations Travel-Fiji Vacations at the time of booking. The restrictions are a maximum of 33 pounds per bag for the seaplanes, helicopters and inter island flights. Exceptions, if you are connecting from Fiji Airways on Fiji Link you are allowed 1 bag at 50lbs. Please visit http://www.fijiairways.com/baggage-and-optional-charges/ for more information.
TOUR PRICE INCLUDES- USD
The specific details of your inclusions for your tour price are listed on the quote/contract and may include: Accommodations as listed, based on twin/double occupancy; all transfers from arrival in Nadi to hotel or resort including any necessary domestic air flights or charters; meals (where specified at all-inclusive properties or at those properties where meal inclusions are mandatory), no beverages other than tea/coffee, juice, water at meal times, unless specified and detailed in quote; all local Fijian VAT (value added tax) and departure tax (subject to change). A convenience fee of 3% and 4% are assessed for use of Visa/MC or AMX respectively and are added to the VAT tax. Prices for singles, triples, and children are available upon request.
NOT INCLUDED IN PRICE
The stated prices do not include any items not specifically mentioned as being included in your quote such as optional sightseeing or scuba diving, fishing, early check in or late checkout, dayrooms, beverages (unless specified by resort),excess luggage charges, massages, communication charges, travel insurance, personal items, porter age, or tips, Passport or visa application fees, change fees, US departure tax (if coming from outside the US) is not included.
PRICING INFORMATION
Prices are in USD and include the cost of tour components, research, planning, and documentation. Due to industry regulations, package prices are not subject to itemizing components. All information in the brochure/website is accurate as of June 1, 2020 and is subject to change without notice if required. Prices may change due to currency fluctuations until the package is paid in full.

TRAVEL AND ACCOMMODATION
Great Destinations Travel-Fiji Vacations is not itself a carrier or hotelier, and does not own aircraft or resorts. The flights, resort stays, and other arrangements are provided by carriers and hoteliers on their own conditions to Fiji Vacations/Great Destinations which may differ from their online policies. Therefore, all bookings with Great Destinations Travel-Fiji Vacations are subject to our terms and conditions and any limitations imposed by airlines, hoteliers and other service providers.
RESPONSIBILITIES
Great Destinations Travel, which trades as Fiji Vacations, acts as agent for services provided by operators/suppliers herein and cannot be held liable for any of those providing services listed in this brochure or any other services incidental thereto. Further, the responsibilities of air carriers are limited in accordance with international agreements and tariffs. Baggage and personal effects are the passenger’s own risk and it is the responsibility of the passenger to obtain insurance against loss or damage.
Great Destinations Travel-Fiji Vacations and the operators involved in this program shall be exempt from all liability for losses or additional expenses in respect of any detention, delay, loss, damage, sickness, or injury, irrespective of the cause, including strikes, war, global pandemics, quarantine and whether or not directly or indirectly caused by any service provided or by a service provider, or by any property used or utilized by a service provider.
Great Destinations Travel-Fiji Vacations reserves the right to correct any errors or omissions of information in this brochure, website, on quotes or promotional flyers ANYTIME before or after your booking is confirmed prior to final payment being received by Great Destinations Travel-Fiji Vacations.
PRIZE WINNERS/CHARITABLE DONATIONS
Fiji Vacations contributes to several Charities throughout the years offering many levels of donations. If you are the winner of a Trip through a charity the following rules apply. As a Prize winner you are responsible for obtaining all the proper travel documents (passports, visas etc). As a prize winner you have 1 (one) year from the date of the event to redeem your prize (travel) and you must have the prize letter in hand to redeem. The prizewinner is responsible for all incidental charges not specifically listed on the prize letter. If airline tickets are included in your prize, they are upgraded to business class and you are responsible for the airline taxes at the time of ticketing. The winner must pay the tax directly to the carrier and frequent flyer mileage is not accrual on prize tickets. The ticket/prize holds zero cash value and may not be sold, transferred or cashed in any other form. Fiji Vacations is not responsible for flight disruption and we highly suggest travel insurance. Prize redemption are based on availability and additional restrictions may apply, accommodations may be ROH and are at the specific resorts discretion.

I acknowledge that I have carefully read the contents of this agreement entitled, “Terms and Conditions” and I accept, in behalf of all people traveling, that these Terms and Conditions form a written contract between the travelers and Great Destinations/ Fiji Vacations. I further confirm that I have the authority to execute these terms and conditions on behalf of all persons traveling with me as specified in the travel documents and/or specified below. We understand that by purchasing an airline ticket or land package that we are agreeing to the full terms and conditions even if we do not physically sign off on them.

FOR INTERNATIONAL TRAVEL: I understand that the traveler is ultimately responsible for knowing, securing and bringing the proper identification (Passports) and/or Travel Visas (if required). I further understand that no refund will be provided if any traveler fails to possess proper documentation.
______6. FOR INTERNATIONAL TRAVEL WITH MINORS: I understand that minors under 18 years of age must travel with the consent of both parents. If a minor is traveling with only one parent, that parent must have a notarized letter of consent from the absent parent, copy of sole custody document or death certificate of absent parent. If a minor is traveling without either legal parent, a notarized letter of consent must be signed by both parents. All children,
including infants, require passports, and in addition a photo ID is required for all travelers over the age of 18.
______7. I understand that any flight schedules that have been reviewed with me are subject to change. I further understand that I am responsible for re-confirming with the airline 24 hours prior to departure.
______8. I understand that I am responsible for any fuel surcharges imposed by the airline and will be prepared to pay them in cash at the time of check-in.
______9. I understand that the hotel reservations as they have been explained to me. I understand that specific hotel room requests (e.g. non-smoking, bedding, location) cannot be guaranteed.
______10. I understand the package inclusions as they have been explained to me.
______11. I understand that if the tour operator must make a major change, such as hotel, destination or departure date, I will be notified as soon as possible.
